Find Candidates

The Find Candidates tab helps recruiters source candidates from the database for specific jobs using AI-powered search filters.

Overview

When you open a job's Find Candidates tab, VoiceHire automatically analyzes the job requirements and generates search filters to find matching candidates. You can browse results, refine filters, and add candidates directly to the job's pipeline.

Required permission: Super Admin/Admin org role, or the manageCandidates capability

How It Works

  1. Navigate to a job and click the Find Candidates tab
  2. VoiceHire analyzes the job description, requirements, skills, and specifications
  3. AI generates relevant search filters (skills, location, experience level, etc.)
  4. Candidates appear in a searchable table with match scores
  5. Select candidates and click Add to Pipeline to add them to this job

The job is automatically pre-selected when adding candidates to the pipeline from this tab.

Opening Find Candidates

The Find Candidates tab appears in the job navigation bar.

Click Find Candidates to open the candidate sourcing interface.

AI Filter Generation

When you first open the tab, you'll see:

Analyzing job requirements...

Generating search filters from "{Job Title}"

This takes a few seconds as the AI analyzes:

  • Job title and description
  • Required and preferred skills
  • Experience level
  • Location and location type
  • Department and role type
  • Custom job specifications

Auto-Generated Filters

AI creates filters based on job requirements. Filters appear as chips below the search bar.

Example Filter Generation

For a job titled "Senior React Developer - Remote" with requirements for React, TypeScript, 5+ years experience:

Generated FilterModeSource
Technical Skills contains ReactRequiredJob requirements
Technical Skills contains TypeScriptPreferredJob description
Total Experience ≥ 60 monthsPreferredExperience level
Location Type equals RemoteRequiredJob location type

Filter Modes

Each generated filter is assigned one of two modes:

ModeBehaviorExample
RequiredHard filter — excludes non-matching candidatesLocation, Status
PreferredSoft filter — contributes to match scoreSpecific skills, experience range

See Searching Candidates for details on filter modes.

Search and Filtering

Once filters are generated, you can use all standard search features:

Type in the search bar to search by name, email, title, company, or skills. Text search works alongside auto-generated filters.

AI Mode

Click Ask AI to add additional filters in natural language. This supplements the auto-generated filters rather than replacing them.

Example: "Also show candidates who know Node.js"

Manual Filters

Click Add Filter to manually add more criteria:

  1. Select a field (e.g., Current Salary, Notice Period, Education)
  2. Choose an operator (Equals, Greater Than, Contains, etc.)
  3. Enter a value
  4. Choose Required or Preferred mode
  5. Click Add Filter

Managing Filters

  • Edit — Click the edit icon on any filter chip
  • Remove — Click the X icon to remove a filter
  • Toggle — Use the switch to temporarily disable a filter
  • Clear All — Remove all filters and start fresh
info

You can modify or remove auto-generated filters. The AI doesn't re-run when you edit filters — changes persist until you refresh the page.

The results table shows candidates matching your search and filters.

  1. Check the boxes next to candidates you want to add
  2. Click Add to Pipeline in the action bar
  3. Confirm the job selection (pre-selected to the current job)

Bulk Add Dialog

The dialog shows:

  • Job Position — Pre-selected to the current job (you can change it)
  • Note — Optional note added to all new applications
  • Skip existing applications — Checkbox to skip candidates who already applied
tip

The current job is automatically pre-selected in the "Add to Pipeline" dialog. You can still select a different job if needed.

What Happens

When you add candidates to the pipeline:

  1. A new application is created for each candidate
  2. Applications start in the first pipeline stage
  3. Candidates receive an email notification (if email templates are configured)
  4. You're redirected to the job's Applications view

If a candidate already has an application for this job:

  • With Skip existing checked → That candidate is skipped
  • With Skip existing unchecked → A duplicate application is created

Refreshing Filters

To regenerate filters from the job:

  1. Refresh the browser page
  2. The AI will re-analyze the job and generate fresh filters

This is useful after editing the job description or requirements.

Use Cases

Proactive Sourcing

After creating a new job, open Find Candidates to immediately see matching candidates from your database before waiting for applications.

Filling Pipeline Gaps

Reviewing Past Applicants

Find candidates who applied to similar jobs in the past. Combine auto-generated filters with manual filters like "Applications ≥ 1" or "Status equals Archived".

Building Diverse Pipelines

Use the auto-generated filters as a starting point, then adjust to broaden or narrow criteria. Toggle filters on/off to explore different candidate pools.
