Job Setup Wizard

The Job Setup Wizard is a dedicated interface for configuring a job's structure and settings. It covers five steps: Job Details, Application Form, Stages, AI Configuration, and Team.

The wizard is used in two situations:

  • Creating a new job — the wizard opens automatically after the job title and details are entered
  • Editing an existing job — open the wizard from the pencil icon or the gear (Job Settings) menu in the job header

For recruitment agencies, a Client dropdown appears at the top of the form. The client is required when creating a job and cannot be changed after creation.

Step 2 — Application Form

Configure the form that candidates fill out when applying. See Application Forms for full details.

Step 3 — Stages

Configure the interview pipeline stages for this job. See Interview Stages for full details.

Step 4 — AI Configuration

Set up entity extraction, AI instructions, and interview templates for automated candidate evaluation. See AI Configuration for full details.

Step 5 — Team

Add team members and assign them job roles. Each team member's job role controls what they can do on this job.

Default Assignee

At the top of the Team step, a Default Assignee dropdown lets you choose which team member automatically receives new inbox items created for this job — for example, new application notifications, completed screenings, and interview events.

OptionBehavior
Unassigned (team claims)Items go into the shared queue. Team members can claim them.
A specific team memberItems are automatically assigned to that person when created.

The dropdown is populated from the current team member list. If you set a default assignee and later remove that person from the team, items will fall back to the shared queue.

tip

Use the default assignee to route all inbox activity for a job directly to the recruiter responsible for it, so nothing sits unclaimed.

Team Members

  • Click Add Member to search for a user and assign their job role
  • Click the pencil icon on a row to change a member's role inline
  • Click the trash icon on a row to remove a member from the job

After Finishing

After completing the wizard (create mode) or closing it (edit mode), you are returned to the Job Overview page.

From the overview, publish the job using the status dropdown in the job header when you are ready for candidates to apply.

tip

You do not need to complete all wizard steps before publishing. A job can be published with just the details filled in. Configure the application form, stages, AI, and team at any time.
