AI Interview Templates
AI Interview Templates are reusable scripts that define what the AI voice agent asks, how it evaluates answers, and how it behaves during a live AI-conducted interview. Define a template once, then select it each time you schedule an AI Interview for a candidate.
Access
- Click Jobs in the sidebar and select a job
- Click the gear icon (Job Settings) in the job header and select AI Configuration, or open the wizard (pencil icon) and navigate to Step 4 — AI Configuration
- Click the AI Interview Templates sub-tab
Required permission: Job Permission EditJob (Super Admins and Admins always have access)
Template List
The AI Interview Templates tab shows all templates for the job. Each row in the table displays:
- Name — template name with optional description below it
- Questions — number of questions in the template (blue badge)
- Max Duration — the maximum interview length
- Usage — number of interviews that have used this template (green badge, shown when usage > 0)
- Created — the date the template was created
Actions
| Action | How | Notes |
|---|---|---|
| Create | Click New Template or Create Template | Opens the template detail form |
| Edit | Click the template name or Edit button | Opens the template detail form pre-populated |
| Clone | Click Clone on the template row | Creates a copy with the same settings and questions |
| Delete | Click Delete on the template row | Cannot be undone. Disabled if the template has been used in any interview. |
Templates that have been used in interviews cannot be deleted. This preserves the integrity of existing interview records.
Creating a Template
Click New Template to open the template creation form. The form has two sections: Template Settings and Questions.
Template Settings
| Field | Required | Constraints | Default | Notes |
|---|---|---|---|---|
| Template Name | Yes | Max 200 characters | — | Descriptive name, e.g., "Senior Engineer Behavioral Round" |
| Description | No | — | — | Internal note about when to use this template. Not shown to candidates. |
| Max Duration (minutes) | Yes | 1–480 minutes | 30 | Maximum length the AI interview may run |
| Language | Yes | — | English | Interview language. Options: English, Spanish, French, German |
| Voice Persona | Yes | — | Professional | AI agent tone. Options: Professional, Friendly, Casual, Formal |
Questions
Each template must have at least one question. Click + Add Question to add questions.
| Field | Required | Notes |
|---|---|---|
| Question | Yes | The question the AI will ask the candidate. Cannot be empty. |
| Scoring Category | No | Category used for scoring (e.g., "Communication", "Technical Depth"). Autocomplete suggests previously used categories. Type a new value to create a custom category. |
| Evaluation Points | No | Rubric for the AI to use when evaluating the answer. Highly recommended — without rubric points the AI scores on its own judgment and results may drift between candidates. List what a strong answer covers and what to penalise. |
Reordering: Drag the handle on the left side of a question card to reorder questions. The AI asks questions in the order shown.
Removing: Click the trash icon on the right side of a question card to remove a question.
All questions must have non-empty text before the template can be saved. Empty question fields block the save action.
Click Create Template to save. You are returned to the template list.
Editing a Template
Click a template name or the Edit button. The same form opens pre-populated with the existing data. Make your changes and click Save.
From the edit view you can also click Clone Template to create a copy of the current template and navigate directly to the clone.
Editing a template does not retroactively change AI interviews that were already scheduled using that template. Each scheduled interview captures a snapshot of the template's questions at scheduling time.
Cloning a Template
Clone a template when you want to create a variation of an existing one. From the template list, click Clone. A copy is created immediately and the list refreshes with the new entry. You can also clone from inside the edit view by clicking Clone Template.
Using Templates When Scheduling
When scheduling an AI Interview for a candidate, you select an AI Interview Template. The template determines:
- The questions the AI will ask
- The max interview duration
- The AI voice persona and language
- The scoring categories and evaluation rubric
