Users & Roles
Manage team members and define what they can do in VoiceHire.
How the Permission System Works
VoiceHire uses a two-tier permission model:
Organization Role → Controls access to Manage settings and org-wide features
+
Capabilities → Controls access to specific app areas (reports, candidates, etc.)
+
Job Role → Controls what a user can do inside a specific job
Every user has one organization role. Members also have capabilities and an access scope. When assigned to a job, a member is given a job role that defines their permissions for that job.
Organization Roles
| Role | Description |
|---|---|
| Super Admin | Full access to everything. Can manage all users including other admins. |
| Admin | Full access to most features. Can manage Members but not other Admins or Super Admins. |
| Member | Access is controlled by capabilities, access scope, and job role assignments. |
Super Admins and Admins bypass all job-level permission checks — they have full access to all jobs and settings.
Member Capabilities
When a user has the Member role, you can grant them additional capabilities:
| Capability | What It Enables |
|---|---|
| Can Create Jobs | Create new job postings |
| Can View Reports | Access the Reports section |
| Can Manage Question Library | Access Manage > Question Sets |
| Can Manage Candidates | Access the Candidates and Talent Pools sections |
Capabilities are off by default for new Members.
Access Scope
Members also have an access scope that determines which jobs they can see:
| Scope | Behavior |
|---|---|
| Global | Can see all jobs in the company. Has read-only access to jobs they are not assigned to, and full access (based on job role) to jobs they are on. |
| Assigned | Can only see jobs they are explicitly assigned to. No visibility into other jobs. |
Job Roles
Job roles are permission templates that define what a team member can do on a specific job. Unlike organization roles (which are fixed), job roles are created and customized by admins at Manage > Job Roles.
When you add a team member to a job, you assign them a job role. That role determines whether they can, for example, schedule interviews, move candidates, or edit the job description.
See Job Roles and Job Role Permissions for details.
