Inbox

The Inbox is the home page of VoiceHire and your primary workspace. It surfaces everything that needs your attention — new applications, evaluation results, and @mentions — so you can act without hunting through pipelines.

Access

The Inbox opens automatically when you log in. You can return to it any time by clicking Inbox in the navigation, or by pressing Ctrl+K / Cmd+K to open the command bar and typing "inbox".

The navigation bar shows a badge count of pending items that updates in real time.

The toggle is hidden on the AI Activity tab.

Actions on Items

Action Buttons

Snooze

Temporarily hide an item until later. Hover over a card to reveal the snooze button (clock icon), then choose a duration:

OptionHides for
30 minutes30 minutes
1 hour1 hour
4 hours4 hours
1 day1 day
1 week1 week

Snoozed items move to the Snoozed tab and return to Needs Decision when the period expires.

Dismiss

Remove an item without taking the primary action. Hover over a card to reveal the dismiss button (X icon). A confirmation dialog appears before the item is dismissed.

Dismissed items move to the Completed tab.

Required permission: applications:update

Claim

When viewing the Team or All view, unassigned items show a Claim button. Clicking it assigns the item to you and moves it into your My Items queue. Claimed items update in real time for other team members viewing the same queue.

Reassign

Transfer an item to another team member. Hover over a card to reveal the reassign button (person icon). A dropdown lists the other members of the job's team. Clicking a name immediately reassigns the item to that person.

  • If you are viewing My Items, the item disappears from your queue after reassigning.
  • If you are viewing Team or All, the item remains visible with its updated assignee.
  • The reassign button only appears when the item belongs to a job with at least one team member.

Required permission: applications:update

Bulk Actions

In the Needs Decision tab, you can select multiple items and act on them at once.

  1. Check the checkbox on each card, or use Select all on this page to select the full page.
  2. A bar appears at the bottom of the screen showing how many items are selected.
  3. Choose a bulk action:
    • Complete Selected — marks all selected items as completed.
    • Snooze Selected — opens a menu to choose a snooze duration (30 minutes, 1 hour, 4 hours, 1 day, 1 week).
  4. Click Clear to deselect without taking action.

AI Activity Tab

The AI Activity tab shows a log of actions VoiceHire's AI has executed automatically — for example, automatically advancing a strong candidate or rejecting one who does not meet requirements.

AI Activity Card

Each card shows:

ElementDescription
Candidate nameWho the action was taken on. Clicking the name opens the application.
Job titleThe role the action relates to. Clicking the title opens the job.
Action type badgeWhat the AI did (Recommended Advance or Recommended Reject)
Auto-executed badgeConfirms this was executed automatically, not by a human
ReasoningA summary of why the AI took the action. If the reasoning is long, the card shows the first 200 characters followed by a Show more link. Click Show more to see the full text, and Show less to collapse it.
TimestampWhen the action was executed

Undo an AI Action

If you disagree with an auto-executed action, you can undo it within 30 minutes of execution.

  1. Find the card in the AI Activity tab.
  2. Click Undo (visible only within the 30-minute window).
  3. A prompt appears asking why you are undoing this action. The note is optional — you can leave it blank and click Undo to proceed.

A countdown shows how many minutes remain in the undo window. After 30 minutes, the action is permanent.

Filtering AI Activity

Use the Type filter on the AI Activity tab to show only specific action types:

Filter optionShows
Recommended AdvanceOnly auto-advance actions
Recommended RejectOnly auto-reject actions

Real-Time Updates

The Inbox updates in real time via SignalR — no page refresh needed.

  • New items appear at the top of the Needs Decision tab as they are created.
  • Items updated by another team member refresh in place.
  • The badge count in the navigation bar updates as items are added or completed.

Pagination

Each tab shows 15 items per page. Use the Previous and Next buttons at the bottom to navigate. The total item count and current page are displayed.

Tips

  • Use My Items view for your daily work and All to see the full team's queue.
  • Snooze items that are blocked on something external so they do not clutter your Needs Decision tab.
  • Check the AI Activity tab to understand what the AI is doing automatically and undo any actions you disagree with promptly.
  • Use bulk complete to clear low-priority items quickly.
