Job Overview
The Overview tab is the home page for each job. It shows pipeline performance, recent candidate activity, an audit timeline, team configuration, and AI-extracted skills — all in one place.
Access
- Click any job title in the Jobs list
- The job opens on the Applications tab by default
- Click Overview to switch to the overview page
Navigation Tabs
Each job has five daily-use tabs for managing candidates and scheduling:
| Tab | Purpose | Requires |
|---|---|---|
| Overview | Pipeline stats, activity timeline, recent candidates, specs, skills | Any job access |
| Applications | Browse and manage all applications for this job | Not read-only |
| Screener | Bulk-review applications with customizable columns and stage moves | Not read-only |
| Find Candidates | Source candidates from your database | manageCandidates capability |
| Bulk Schedule | Schedule interviews in batch | ScheduleInterviews |
Super Admins and Admins see all tabs. Other users only see tabs their permissions allow.
Job Setup (Configuration)
Job setup tasks — configuring the application form, pipeline stages, AI settings, and team — are handled through the Job Setup Wizard, not through tabs. Access the wizard from the job header:
| Header control | What it does |
|---|---|
| Pencil icon | Opens the wizard at Step 1 (Job Details) |
| Gear icon (Job Settings) | Opens a dropdown to jump directly to Application Form, Stages, AI Configuration, or Team |
Both controls are visible to users with the EditJob permission. See Job Setup Wizard for full details.
Page Layout
The overview page uses a two-column layout:
Main column (left, 2/3 width):
- Pipeline visualization
- Job description
- Activity timeline
Sidebar (right, 1/3 width):
- Recent candidates
- Job details card
- Configuration card
- Client Information (recruitment agencies only)
- Skills card
Pipeline Visualization
The top of the page shows candidate counts across pipeline categories.
| Category | Description |
|---|---|
| Applied | New applications awaiting review |
| Screening | Candidates in initial evaluation |
| Interview | Candidates in interview rounds |
| Offer | Candidates at offer stage |
| Hired | Successfully hired candidates |
| Rejected | Candidates not proceeding |
Each category card shows the current count color-coded by category. Use the time range selector to filter pipeline data:
| Option | Shows |
|---|---|
| Last 7 days | Weekly activity |
| Last 30 days | Monthly view (default) |
| Last 90 days | Quarterly trends |
| All time | Complete history |
Activity Timeline
The Activity Timeline records every significant action taken on a job, in chronological order.
Events are logged automatically for actions including:
- Job created, updated, deleted, or duplicated
- Job status changes (published, placed on hold, reopened, closed)
- Specs updated
- Interview stages synced
- Application form synced
- AI instructions updated
Each event shows who performed the action (user name, or "System", "AI Agent", or "Interview Agent" for automated events) and the date and time.
Job-level events are rendered with context-specific details:
| Event | What is shown |
|---|---|
| Job status change | Status badge (Published, On Hold, Closed, Reopened); previous → new status transition shown for On Hold; closure reason shown for Closed |
| Job configuration | Which configuration was updated (AI instructions, stages, specs, application form) |
When application events are included (see below), additional event types appear on the job timeline showing the candidate name alongside each event:
| Event | What is shown |
|---|---|
| Application submitted | Candidate name |
| Stage changed | Candidate name; previous → new stage |
| Match score | Candidate name; score (0–100) with color coding |
| AI action | Candidate name; whether the AI advanced, rejected, or flagged |
| AI action undone | Candidate name; reviewer note if one was provided |
| Interview | Candidate name; status badge and interview medium |
| Discussion message | Candidate name; message preview |
Actor Names
Each event shows who triggered it as plain text below the event description. Common actor names:
| Actor | Meaning |
|---|---|
| User name | Action taken by a specific team member |
| System | Automated background action |
| AI Agent | Action taken by the AI pipeline (matching, auto-advance, auto-reject) |
| Interview Agent | Action taken by the AI interview bot (screening completion) |
| Candidate name | Action triggered by the candidate (applying, completing an interview) |
Including Application Events
By default the timeline shows only job-level events. Check Include application activity to also show events from individual applications (stage changes, evaluations, etc.).
The timeline loads 10 events at a time. Click Load more at the bottom to fetch additional history.
Recent Candidates
The sidebar shows the 7 most recently applied candidates. Each entry displays:
- Candidate name (links to their application overview)
- Current pipeline stage badge
- AI match score (if available)
- Application date
Click View All to open the full Applications tab for this job.
Configuration
The Configuration card in the sidebar shows the current job settings.
| Field | Who sees it |
|---|---|
| Job Code | All organization types (if set) |
| Quoted Bill Rate | All (if set) |
| Agreed Bill Rate | All (if set) |
| Application Received Email | All organization types |
| Rejection Email | All organization types |
Editing Configuration
Click the pencil icon next to the Configuration heading to open the configuration editor in a dialog. This requires the EditJob Job Permission.
The dialog lets you update:
- Job Code
- Email notification settings (Application Received, Rejection)
- Bill rates (agencies)
Click Save in the dialog to apply changes. The card updates immediately without a page reload.
Configuration changes are logged in the Activity Timeline automatically.
Job Team
Team members assigned to the job are managed from the Team tab, not the Overview page. See Job Specifications — Job Team for details.
Client Information
For recruitment agencies, a Client Information card appears in the sidebar showing the assigned client name and department.
Skills
The Skills card shows AI-extracted skills from the job description, divided into two groups:
| Group | Criteria |
|---|---|
| Required | Skills marked as required or high importance |
| Nice to Have | All other extracted skills |
If no skills have been extracted yet, the card shows a link to AI Configuration > Entities where you can trigger extraction.
Skills extraction improves AI match scoring accuracy. Run entity extraction after publishing the job to get match scores on incoming applications.
