AI Interviews
The AI Interview is an interview conducted entirely by an AI voice agent using a pre-defined template. It can be delivered as a web (browser) session or as an outbound phone call to the candidate.
How It Works
- Schedule an AI Interview for a candidate (see below), selecting the delivery channel (web or phone).
- The candidate receives an email with a link.
- For web interviews: the candidate joins in their browser and speaks with the AI live in-session. For phone interviews: the AI calls the candidate's phone number at the scheduled time (or immediately when the candidate clicks "Call me now").
- The AI voice agent conducts the interview — introducing itself, asking questions in order, and following the evaluation rubric.
- When the session ends, the interview is marked as Completed.
- Results appear on the application's Interviews section.
Before You Start
AI Interviews require at least one AI Interview Template to exist for the job. Templates define the questions, scoring categories, voice persona, and max duration.
If no templates exist, the scheduling form shows a prompt to create one first.
Delivery Channels
AI Interviews can be delivered in two ways, selected when scheduling:
| Channel | How it works |
|---|---|
| Web (browser) | Candidate receives a link, opens it in their browser, and speaks with the AI voice agent live in-session. |
| Phone | AI dials the candidate's phone number at the scheduled time. No browser required to take the call. |
Scheduling
Required permission: ScheduleInterviews
- Open the application and scroll to the Interviews section.
- Click Schedule Interview.
- Select AI Interview from the Interview Medium dropdown.
Scheduling Fields
| Field | Required | Constraints | Default | Notes |
|---|---|---|---|---|
| Interview Template | Yes | — | — | Select from the job's AI Interview Templates. Shows question count and max duration for each option. |
| Delivery Channel | Yes | — | — | Web (browser session) or Phone (AI calls the candidate). |
| Interview Title | Yes | Max 100 characters | "AI Interview - {Name}" | Pre-populated from candidate name. Updates automatically (if unmodified) when a template is selected. |
| AI Instructions Override | No | Max 5000 characters | — | Optional interview-specific instructions to override or supplement the template defaults. |
Click Schedule Interview to confirm. The candidate receives an email immediately with their interview link.
For web interviews, the candidate link is a one-time access URL for their specific session. For phone interviews, the link goes to the candidate portal where they can view call details and trigger the call.
Web AI Interview — Candidate Experience
- Candidate clicks the link in their email.
- A browser and microphone check is performed.
- The AI voice agent introduces itself and begins the interview.
- Questions are asked in the order defined by the template.
- After the final question, the AI closes the session.
- The candidate sees a confirmation screen.
AI Phone Interview — Candidate Experience
The candidate receives an email with a link to their phone interview portal at /ai-interview/phone/details/{token}.
Portal States
Before the call (default view)
The portal shows:
| Field | Description |
|---|---|
| Scheduled time | Date and time of the interview in the candidate's local timezone |
| We'll call | The last 4 digits of the candidate's phone number on file (e.g., "Number ending •••• 1234") |
| From | The caller ID number the candidate should expect the call from |
Available actions depend on what the recruiter has allowed:
| Button | When shown | What it does |
|---|---|---|
| Call me now | When the interview is ready to start | Immediately hands off to the dialer — AI will call within about a minute |
| Reschedule | When rescheduling is allowed | Navigates to the reschedule form |
| Cancel interview | When cancellation is allowed | Cancels the interview |
Waiting for the call ("We're calling you" state)
After the candidate clicks Call me now, the portal switches to a waiting screen:
- An animated indicator shows that the call is being placed.
- A reminder shows the caller ID number to watch for.
- The candidate's number ending (last 4 digits) is shown so they can confirm the right phone is nearby.
If no call arrives within approximately 90 seconds, a Call me again button appears. The candidate can use this to re-trigger the dialer without contacting the recruiter.
The AI places the call — the candidate answers their phone as normal. No app or browser is required to take the call itself.
Status Messages
The portal shows a contextual message based on the interview status:
| Status | Message shown to candidate |
|---|---|
| Invited | "We'll call you at the scheduled time below." |
| Awaiting candidate | "Click 'Call me now' when you're ready, or pick a time." |
| Calling | "We're calling your phone — please answer." |
| In Progress | "Interview in progress." |
| Completed | "Thanks for completing your interview." |
| Missed call | "We tried to reach you. Click 'Call me now' to try again." |
| Cancelled | "Interview cancelled." |
| Expired | "This invite link has expired." |
Recruiter View — AI Phone Interview Card
For AI phone interviews, the interview card in the Interviews section shows additional phone-specific information:
- Dial number — The phone number the AI dialed (unmasked), shown beneath the interview type label. This is the number frozen at the time the interview was scheduled, not the candidate's current profile phone.
- Failure hint — If the call was missed or failed technically, the card shows "Candidate didn't pick up — cancel and reschedule if needed."
- Cancel button — The only recruiter action for phone interviews. Reschedule, Mark as No Show, and Start are not available; those are handled by the candidate portal or automatically.
The dial number shown on the interview card is locked to the number on file at scheduling time. If a candidate's phone number changes later, it does not affect already-scheduled phone interviews.
AI Interview Evaluation
When a session ends and the evaluation has finished processing, click View Details on the interview card to open the AI Interview Evaluation page.
Evaluation Summary Card
The summary card appears at the top of the page and shows:
| Element | Description |
|---|---|
| Overall Score | 0–100 displayed as a circular progress indicator. Color-coded: green (80+), yellow (60+), orange (40+), red (below 40). |
| Recommendation | AI recommendation badge — one of: Highly Recommend, Recommend, Consider, Do Not Recommend, or Reject. |
| Category Scores | Scores per evaluation category (e.g., Communication, Technical Knowledge) as inline chips, each showing the category name and score out of 100. |
| Summary | AI-generated markdown narrative summarising the candidate's overall performance. |
| Evaluation date | When the evaluation was generated, plus questions answered and total session duration. |
Click Re-evaluate to queue the interview for a fresh AI evaluation. A notification confirms the request. The page must be refreshed after a minute to see updated results.
If the evaluation is still being processed, the page shows an "Evaluation in progress" message. Check back in a few minutes.
Question-by-Question Evaluation
Below the summary card, each question is shown as a card with:
| Element | Description |
|---|---|
| Question number and text | Order index and the question that was asked. |
| Category badge | The question's evaluation category, if set. |
| End reason badge | Shown only when the question was not answered normally — Skipped (yellow) or Disqualified (red). |
| Duration | Time spent on this question. |
| Score | 0–100 score for this question, color-coded using the same scale as overall score. |
| Answer Summary | Brief AI-written summary of what the candidate said. |
| Feedback | AI-generated markdown feedback on the candidate's answer. |
| Transcript | Expandable section showing the full conversation for this question, displayed as a chat thread — AI Interviewer messages on the left, Candidate messages on the right. |
Recording
When a recording is available, the page shows a split layout on desktop (lg screens and wider): the recording viewer is pinned on the left and the question evaluations scroll independently on the right. On smaller screens the recording appears above the question list.
The recording viewer supports standard browser video controls. HLS streams are played using HLS.js where supported, with native HLS playback as a fallback for Apple devices.
Cancelling an AI Interview
Cancel an AI Interview from the interview card in the Interviews section. Requires CancelInterviews permission. The candidate receives a cancellation email.
AI Interviews cannot be rescheduled. Cancel the existing interview and schedule a new one if you need to change anything.
For phone interviews in a missed-call or failure state, the card shows "Candidate didn't pick up — cancel and reschedule if needed." Cancel the interview and create a new one to retry.
