Pipeline Stages

Customize how candidates move through your hiring process.

Default Pipeline

Every job includes these stages:

StagePurpose
AppliedNew applications, not yet reviewed
ScreeningUnder review or initial evaluation
InterviewInterview scheduled or completed
OfferOffer extended, awaiting response
HiredOffer accepted
RejectedNot moving forward

How Stages Work

Stage Progression

Candidates move through stages as they progress:

Applied → Screening → Interview → Offer → Hired
↓ ↓ ↓
Rejected Rejected Rejected
  • Move forward when a candidate advances
  • Move to Rejected at any point to end the process
  • Candidates can also withdraw themselves

Customizing Stages

Admins can add stages to match your process.

Add a Stage

  1. Jobs → Select job → Stages tab
  2. + Add Stage
  3. Enter stage name (e.g., "Technical Assessment")
  4. Set position in order
  5. Save

Common Custom Stages

StageUse Case
Phone ScreenInitial recruiter call
Technical AssessmentCoding test or skills evaluation
Hiring Manager ReviewManager reviews before interview
Reference CheckVerify references
Background CheckPre-employment verification
OnboardingAccepted, preparing to start

Rename a Stage

  1. Jobs → Select job → Stages tab
  2. Click stage name
  3. Edit and Save

Reorder Stages

Drag stages to reorder within the same category. The sequence determines the visual order in the pipeline view. Stages cannot be dragged across category boundaries (e.g., from active stages into terminal stages).

Delete a Stage

  1. Jobs → Select job → Stages tab
  2. Click × on the stage
  3. Confirm
warning

You cannot delete a stage if it is the only stage in its category — each category must have at least one stage. The Hired and Rejected categories are reserved terminal states and cannot be customized through the add/edit flow.

Per-Job Pipelines

By default, all jobs use the same pipeline. For different hiring processes:

  1. Create the job
  2. Open the job Stages tab
  3. Add or remove stages for this job only

Example:

  • Engineering roles: Add "Technical Assessment" stage
  • Sales roles: Add "Role Play" stage
  • Executive roles: Add "Board Interview" stage
