Candidates

A candidate is a person in your VoiceHire database.

Candidate Profile

Each candidate has a profile containing:

Section	Information
Contact	Name, email, phone, location
Resume	Uploaded file and parsed data
Work History	Jobs, companies, dates
Education	Schools, degrees, dates
Skills	Technologies, competencies
Applications	All job submissions
Activity	Notes, emails, interviews

Candidate Sources

Candidates enter your database through:

Job application	Applied through career page
Manual entry	Added by recruiter
CSV import	Bulk upload
Talent pool	Added directly

Candidate vs Application

Remember the distinction:

• Candidate = the person (one record)
• Application = submission to a job (can have many)

Example:

• John Smith is one candidate
• He has two applications: Software Engineer and Tech Lead

Finding Candidates

Search

Use global search (Ctrl+K) or the Candidates page search:

• Name
• Email
• Skills
• Current company
• Job title

Filters

Narrow results by:

Filter	Options
Status	Active, Archived, Do Not Contact
Source	Career page, Referral, Import
Skills	Specific technologies
Location	City, country, remote
Date Added	Time range

Adding Candidates

Manual Entry

1. Candidates → + Add Candidate
2. Enter details or upload resume
3. Save

CSV Import

Bulk import from spreadsheet:

1. Candidates → Import
2. Upload CSV file
3. Map columns to fields
4. Review and Import

Required columns: First Name, Last Name, Email

Optional columns: Phone, Location, Skills, Notes, etc.

From Talent Pool

Add existing candidates to jobs:

1. Open candidate profile
2. Add to Job
3. Select job
4. Choose initial stage

Talent Pools

A talent pool is a custom collection of candidates for future hiring.

Use Cases

Pool	Purpose
"Silver Medalists"	Strong candidates who weren't selected
"JavaScript Developers"	Skill-based collection
"Employee Referrals"	Source tracking
"2024 Interns"	Program-based grouping
"NYC Based"	Location-based pool

Create a Talent Pool

1. Candidates → Talent Pools → + New Pool
2. Enter name and description
3. Create

Add Candidates to Pools

From candidate profile:

1. Open candidate
2. Add to Pool
3. Select pool(s)

From candidate list:

1. Select multiple candidates
2. Add to Pool
3. Select pool

Manage Pools

View pool contents:

1. Candidates → Talent Pools
2. Select pool
3. See all candidates in pool

Remove candidates:

1. Select candidates in pool
2. Remove from Pool

Pool to Job

When a new job opens:

1. Open relevant talent pool
2. Select promising candidates
3. Add to Job
4. They become applications in that job

Duplicate Management

Prevent duplicate candidate records.

Duplicate Detection

When adding a new candidate manually, VoiceHire checks for existing records with a matching email address and flags potential duplicates before the record is created. Review the suggested match and decide whether to proceed with creating a new record or use the existing one instead.
